We will only process data for the purposes of providing you with the services you have agreed to receive and will only use your personal data in accordance with our Privacy Policy.Your privacy and the security of the data that you share with us is extremely important to us. We therefore wish to be as transparent as possible with you about how we store and use your data, when and why we use it and how we comply with Data Protection laws when we do so – including the GDPR (General Data Protection Regulation) in force from 25 May 2018. COVID-19
‍Following the re-opening of leisure venues the Government have stated that the leisure venues must conduct, and maintain for 21 days withregards to data, the following:

- ask every customer or visitor (over the age of 16) to provide their name and contact details;
- keep a record of all staff working on their premises and shift times on a given day and their contact details;
- keep these records of customers, visitors and staff for 21 days and provide data to NHS Test and Trace if requested;  
- display an official NHS QR code poster so that customers and visitors can ‘check in’ using the NHS COVID-19 app as an alternative to providing their contact details; and
- adhere to General Data Protection Regulations (GDPR)

As a result of this, we will require the following data from yourselves as a user of our services which shall be temporarily stored for 21 days:

- full name;
- telephone number;
- email address, if a telephone number is not available;
- and home address, if a telephone number or email address is not available

We are obliged to share this data, together with the date and time of your activities arranged through ourselves, with the NHS Track&Trace program when necessary and upon their request. Whilst we are required to request and maintain this data, please note that this is a voluntary service and you may opt out if you do not wish your data to be shared to the Track&Trace service.  If you wish to opt out please email legal@orfiactive.com providing your name and confirmation of booking and we will ensure that your data will not be shared.

‍CHILDREN AND ORFI ACTIVE
‍Children under the age of 13 should not use any product or service of Orfi Active without the consent of their parents/guardians and must not attempt to register and/or submit any personal information to Orfi Active. Orfi Active does not knowingly collect personal information from any person who is under the age of 13. If it comes to our attention that we have collected personal data from a person under the age of 13, we will delete this information as quickly as possible. If you have reason to believe that this has occurred, please contact us via email to hello@orfiactive.com or by post to Courtleigh House, 74-75 Lemon Street, Truro, Cornwall TR1 2PN and we will delete any such information. We recommend that children between the ages of 13 and 17 should ask their parents or legal guardians for permission before registering or using any product or service of Orfi Active including Orfi Active app.We understand that many juvenile team organisers may wish to use Orfi Active to manage their teams. Team Managers/Organisers should ensure that team member contact details for juvenile teams are in line with the child protection guidelines laid down by the governing body for their sport in their national jurisdiction (in most cases that means that only parent/guardian contact details should be used for conveying information to juveniles).

‍Orfi Active will take reasonable technical and organisational steps to secure your personal information and to prevent the loss, misuse or alteration of your personal information.We take appropriate security measures to help safeguard your personal information from unauthorised access and disclosure. We use encryption in the storage of your passwords, and we use firewalls to help prevent unauthorised persons from gaining access to your personal information.
